01 · Cancel or delete?
Three ways to end an account - deliberately separate
“Ending” does not automatically mean “deleting” here. There are three clearly separated paths with entirely different consequences for your data - we keep them apart on purpose, so nothing gets lost by accident.
Reversible
Cancel the subscription
You stop paying but keep everything. Your account drops back to the free Pilot plan - no data loss, passports stay accessible via QR.

Delete an employee account
A single person’s access and personal data is removed. Company and passports remain.
Final
Delete the whole company
The final step: the entire company including all passports. Owner-only, only after cancellation, with a 30-day grace period.
02 · How to cancel

03 · After cancellation
What happens right after cancellation
From the effective date, your account reverts to the free Pilot plan. Your existing passports remain and stay publicly accessible via QR - nothing is deleted automatically, and there is no deadline hanging over you.
QR codes remain public
All existing passports remain accessible to the public, recyclers and authorities. You continue to meet your legal availability obligation.
Existing data stays editable
On the Pilot plan your models and passports remain; creating new ones is limited to the Pilot allowance (1 model, 25 passports/year).
No more invoices
The Pilot plan is free - no new charges are raised after the effective date.
04 · Three options for your passports
What happens to your passports afterwards?
You can choose one of these options at any time - there is no deadline and no automatic deletion date. Pick whichever fits your situation; we actively help with the handover.
Option A
Migration to another provider
Full export as JSON / AAS submodel per DIN DKE SPEC 99100 - standard-compliant and accepted by other passport solutions. We support actively with a handover checklist and a technical contact person.

Archive plan (read-only)
Existing passports stay with Batteriepasswerk - read-only, no new creation. QR codes and role-based views keep working. Ideal if you no longer place new batteries on the market.

05 · Why nothing simply disappears
Personal data ≠ passport data
Behind “0 automatic deletion” there is no trick, but a conflict of laws that we resolve cleanly. Two legal acts collide - and they concern two different kinds of data that we strictly separate.

We can therefore delete personal accounts, because that does not affect your legal availability obligation - the passports themselves must remain. Legally, you as the manufacturer are the controller (and, under battery law, the economic operator); Batteriepasswerk is your data processor and pure hosting provider. We answer every deletion or access request within one month.
06 · Delete an employee account
Removing an individual user’s personal data (GDPR Art. 17)
To make a single person’s access and personal data disappear, this deliberately does not run as self-service but is controlled via team management - so the team stays in the owner’s hands.

Owner or admin triggers it
Via “Team → Remove member”. There is deliberately no “Delete account” button in your own profile - team authority rests with the owner.

Personal data is removed
Access and profile are deleted, and the name in the tamper-proof audit log is anonymised. The affected employee receives an email confirmation.

Company & passports remain
Models and passports belong to the company, not the individual - they stay untouched. The owner is protected: ownership must be transferred first, and nobody can remove themselves.
07 · Delete the whole company
The final step - with safeguards and a grace period
Deleting the entire company including all passports is the only path that truly destroys product data. It is safeguarded accordingly and reserved exclusively for the owner.

Cancel first, then delete
Only possible from the free Pilot state - an active subscription must be cancelled first.

Deliberate confirmation
The owner types the company name and confirms via a checkbox that, as the economic operator, they assume the retention obligation. This transfer of liability is logged.

30-day grace period
Until then, support can restore the company. Afterwards the company, all passports and certificates are deleted permanently.
All QR codes break permanently afterwards
Once the grace period ends, passports and QR codes are irretrievably gone. As a manufacturer you are then responsible for meeting your legal retention obligation (Art. 77) by other means. Check the retention options or the full data export beforehand.

09 · Your safeguard
What if Batteriepasswerk itself disappears?
As a manufacturer you are legally required to keep your passports available - independently of your software vendor. Your most important safeguard is therefore that you can export a complete, self-contained copy in open standards at any time and keep it yourself - so you are never dependent on our survival.

Contract term & cancellation in plain language
