Battery passport software: meeting the 2027 obligation with a system.

From 18 February 2027 the digital battery passport is mandatory for manufacturers - required by the EU Battery Regulation 2023/1542. 01 · Obligation

EU Battery Regulation: when the battery passport obligation applies

The EU Battery Regulation 2023/1542 mandates: from 18 February 2027, every EV battery, every LMT battery (e-bike, e-scooter) and every industrial battery over 2 kWh needs a digital battery passport when placed on the market - reachable via a QR code on the battery. The obligation hits manufacturers and importers, regardless of company size:

Without a compliant passport the battery may not be placed on the market from the deadline - in practice a sales ban across the entire EU.

10,000 sold storage units of one type mean 10,000 passports with 10,000 unique QR codes - serialisation is the core of the task.

02 · Requirements

What battery passport software must deliver

On the surface the battery passport is a web page behind a QR code - conformity sits underneath. Six requirements follow directly from the regulation, and it's exactly here that DIY approaches with spreadsheets and static QR generators fail:

Data model per Annex XIII

Around 90 mandatory data points per model - chemistry, capacity, carbon footprint, recycled content, due-diligence, dismantling information - structured to DIN DKE SPEC 99100 rather than in free-text fields.

Mass serialisation

One passport per unit, not per model: from a single model template thousands of passports with a unique identifier (ISO/IEC 15459) must be generated - via CSV import or API, not by hand.

GS1 Digital Link QR per unit

The QR code encodes product and serial number in the URL and must be output print- or engraving-ready - permanently resolvable across the entire lifecycle of the battery.

Three access levels

The public, legitimate interest (recyclers, second-life operators) and market surveillance see different data sets - the software must separate role-based access exactly as Art. 77 requires.

Supplier data onboarding

Carbon values, material origin and evidence sit with suppliers. A good solution collects them via a self-service link directly - with reminders and an audit trail instead of Excel ping-pong.

Permanent EU hosting

The passport must remain reachable even after repurposing or recycling. A link that breaks after a website relaunch violates the regulation - stable hosting is a core requirement, not an add-on.

What is battery passport software?
Battery passport software creates and hosts digital battery passports under the EU Battery Regulation 2023/1542: it manages the roughly 90 mandatory data points from Annex XIII per battery model, serialises them into one passport per produced unit, generates the GS1 Digital Link QR code and makes the data permanently available online across three separate access levels - for the public, legitimate interest and market surveillance.
When do I need battery passport software?
The battery passport obligation applies from 18 February 2027 for EV, LMT and industrial batteries over 2 kWh. Anyone selling in the EU from that date must ship a compliant passport at the point of placing on the market. In practice the work starts much earlier: supply-chain data such as carbon footprint and material origin has months of lead time - start only in late 2026 and you'll be under real pressure.
When does the Digital Product Passport become mandatory?
The Digital Product Passport (DPP) arrives in stages. The battery passport goes first, from 18 February 2027 - it is the EU's first legally mandatory DPP. Further product groups follow via delegated acts under the Ecodesign Regulation (ESPR, EU 2024/1781); textiles, electronics/ICT, steel and furniture are expected first from around 2027/2028.
Which products does the Digital Product Passport apply to?
So far it is legally binding for batteries: EV batteries, LMT batteries (e-bike, e-scooter) and industrial batteries over 2 kWh need a battery passport from 18 February 2027. The ESPR foresees the DPP for almost all physical products on the EU market over time - with textiles, electronics, steel, aluminium, furniture, tyres and chemicals prioritised. Food, feed and medicinal products are exempt.
Can I create the battery passport without software?
In theory yes, in practice barely: the regulation requires one passport per unit with a unique identifier (ISO/IEC 15459), a permanently resolvable QR link across the entire lifecycle and three separate access levels. A spreadsheet plus a static QR generator satisfies neither serialisation, nor access control, nor permanent availability. A custom build is possible but typically costs a multi-month IT project plus ongoing operation.
How much does battery passport software cost?
The range runs from free entry-level tiers to enterprise licences in the four- to five-figure annual bracket.
